PENNSYLVANIA ELKS STATE ASSOCIATION

 

Arrangements are now complete for the Grand Lodge Convention to be held July 17-21, 2011 in Phoenix, Arizona. West Virginia and Pennsylvania State Associations have been assigned to the Wyndham Phoenix, 50 E Adams St, Phoenix AZ 85004. The room rates, as negotiated by the Grand Lodge Convention Committee, will be $109.00 per day plus 13.7% a total of $123.46 per room per day for single or double occupancy, $129.00 triple, $149 quad. Self parking is at a discounted $23.00 per day. Parking across the street is $10.00 per day but cannot leave before 8:00 AM and most be parked by 8:00 PM for overnight.                                                 

 

 

IMPORTANT

 

All housing reservation requests for both Pennsylvania and West Virginia MUST be made through the PA Elks State Office. 

The reservation form can be downloaded below and must be completed in its entirety and mailed, along with your

 credit card information or check for $ 123.46 made payable to WYNDHAM PHOENIX.

NOTE:  Transportation to Orlando is the responsibility of each individual. To avoid any last minute reservation changes please check with your airline flight reservationist for departure rates on Saturday, July 16 for possible savings. Making flight reservations as early as possible is recommended.   

 

The social functions being planned for the West Virginia and Pennsylvania attendees will consist of an early morning breakfast for members only, and a formal cocktail party and dinner. The Social Function Registration Form can be downloaded below.  Once again the Pennsylvania and West Virginia delegations will have separate hospitality rooms. The cost will be $85.00 for members and $65.00 for guests. It is suggested that tickets be purchased by our subordinate Lodges with the costs to be deducted from the allowance granted to the Lodge delegate. Social function tickets will be handled through the PA Elks State Office and will be forwarded to you prior to the Convention. Checks for the SOCIAL FUNCTIONS should be made payable to the PA ELKS STATE ASSOCIATION. No credit cards.

THE EXALTED RULERS' BREAKFAST

Monday, July 18, 2011 - 7:00 a.m. sharp – Wyndham Phoenix, North Ballroom. Prompt arrival is most important to insure that our members may be on time for the opening business session at the Convention Center. You must have your ticket for admission and breakfast.                  

 

RECEPTION

Tuesday, July 19, 2011 - 6:30 p.m. Wyndham Phoenix, South Ballroom. The reception will end at 7:30 p.m., at which time dinner will be served.

 

DINNER

Tuesday, July 19, 2011 - 7:30 p.m. – Wyndham Phoenix, North Ballroom. DD Designates will check tickets at reception entrance to be certain they have not been forgotten. 

 

ATTIRE

Attire for the Monday morning breakfast will be informal, with business suit or blazer suggested. For the Tuesday evening cocktail party and dinner the dress will be optional, with white dinner jackets suggested, if available.

 

PENNSYLVANIA HOSPITALITY ROOM

The location is Suite 530, poolside. Kevin and Margie Brouse will be in charge, assisted by the 2011-2012 District Deputies of Pennsylvania. The Hospitality Room will be in operation during the following schedule:

 

                          Sunday, July 17, 2011                        2:00 p.m. - 4:00 p.m.

                          Monday, July 18, 2011                      2:00 p.m. - 4:00 p.m./ 8:00 p.m. - 11:00 p.m.

                          Tuesday, July 19, 2011                      2:00 p.m. - 4:00 p.m./ 9:30 p.m. - Midnight

                          Wednesday, July 20, 2011                2:00 p.m. - 4:00 p.m./ 7:00 p.m. - 11:00 p.m.

 

The 2011-2012 District Deputies will serve as door checkers for the various social functions and supervise their respective bartenders in the Hospitality Room. The 2011-2012 District Deputies will also see that the delegates get to the Convention Business Sessions and sit together throughout those sessions. The District Deputies will receive complete instructions at their annual spring meeting.

 

PGER Carlon M. O'Malley will expect the delegates to report to their respective 2011-2012 District Deputies in order that an accurate roll call of the delegates be taken for all sessions of the Convention.

 

Detail planning is all-important and your committee needs your full cooperation in the pre-registration program. Please return your Social Function Registration form to the PA ELKS STATE ASSOCIATION, P. O. BOX 1255, SOMERSET,  PA 15501 before May 16, 2011, along with a check (no credit cards) for the breakfast, reception, dinner, and hospitality room ($85.00 for members and $65.00 for guests) made payable to PA ELKS STATE ASSOCIATION.

·         The Sunday Evening Opening, Daily Business and Closing Sessions will take place at the Phoenix Convention Center, 111 N 3rd St, Phoenix AZ 85004.

 

·         The Exalted Rulers Luncheon and Seminar will be held at the Sheraton Phoenix Downtown on Monday, July 18.

 

·         Spouses Entertainment will be held at the Sheraton Phoenix Downtown on Tuesday, July 19.

 

·         The Exalted Rulers Ball will be held Wednesday evening, July 20 at the Sheraton Phoenix Downtown.

 

·         Ritual Competition will be held at the Phoenix Convention Center.

 

·         Registration and Exhibits will be set up at the Phoenix Convention Center.

 

·         Seminar for the District Deputies and Special Deputies will be held at the Sheraton Phoenix Downtown on Tuesday, July 19.

 

·         State President and State Secretary Luncheon will be at the Sheraton Phoenix Downtown on Wednesday, July 20.
